In this article, we’ll explain how to configure all communication settings available in your system. These settings let you choose when to receive notifications on system events, such as shipped orders or received replenishments, so you can stay updated about your orders and inventory at all times.
Please note, the preferences view is only accessible using the main OMS user account.
Introduction
To manage users, go to your OMS→ Account→Preferences → Communications Settings:
You’ll be taken to a view showing all current configurations. Please note that we’ll divide the configuration into three sections: the notifications you receive, the notifications your customers receive, and extra settings:
Important considerations:
All notifications are sent via email.
Some emails are sent right after certain actions, while others are sent daily at a configured time that cannot be changed, regardless of your time zone.

2. Notifications You Receive
These are the notifications the system will send you depending on certain actions.
1. Configure the email: All notifications are sent to the administrator's email displayed at the top of the page:
2. To change the email, click the URL shown or go to Communication Templates and update the email address.
3. Configure notifications: To select which notifications to receive, click Edit to make all settings editable.
4. Go to the first section, and turn on the options for the notifications you want to receive. You can also add a CC (courtesy copy) to send the notifications to ONE additional email address:
Replenishments
You will receive an email as soon as our warehouse team finishes receiving your replenishments. This works whether you request the PO or they initiated on their end.
The email will look similar to the picture below:
Warehouse Created a SKU in Your Inventory
You will receive an email if your warehouse team creates an SKU on their end.
Return By Carrier
These types of returns occur when the carrier returns an order to your warehouse team for some reason. In this case, they have the option to begin a process called Return by Carrier (Please contact your warehouse team for more information about this type of order)
You will receive an email notification as soon as they create the return by carrier order.
The email will look similar to the below picture:
Restocking
You will receive an email as soon as your warehouse team processes a return. This includes all types of returns:
Returns initiated by the team
Simple returns
Exchange on Received
Exchange now

Billing Adjustment
A notification email is sent whenever there is a billing adjustment made to your account.
Inventory Correction
You will receive an email as soon as your warehouse team completes an inventory recount to add or subtract quantity.
The email will look similar to the picture below.
Low Inventory
Please note that Low Inventory notification emails are sent out every day at 12:00 am EST.
A notification email is sent once a day, listing all SKUs with no inventory or low inventory. The content of this email depends entirely on your inventory forecasting configuration, where you decide what the email will include. You can choose to receive notifications based on:
Quantity left (remaining stock per SKU)
Time left (calculated by the system)

Below is an example of how inventory forecasting looks when using quantity left as the factor for email notifications:
With this configuration, the email will look similar to the image below:
Order API Errors
Please note these notification emails are sent out every day at 5:00 PM EST.
You will receive an email for all orders that enter API Errors. These notifications will continue to be sent until the orders are resolved.
With this notification, you will have the ability to know when orders enter an API Error status and correct them accordingly. For more information on API Errors please visit our detailed guide: OMS: Learning how to handle API Errors

Payment & Billing
A notification email is sent whenever there are changes or updates related to payments and billing with your vendor account.
Discontinued SKUs
You will receive an email as soon as an SKU is discontinued by you or someone on your team. To learn more about discontinuing SKUs, please visit our guide:OMS: How to Discontinue, Delete, and Re-Enable an SKU

Wall Communications
You will receive an email as soon as a certain action on the wall is performed. There are 3 available options:
Notifications Customers Receive
These notifications are sent to your customers when the configured action occurs. The email is sent to the address associated with the order.
1. To choose which notifications to send, click Edit to make all settings editable.
2. Go to the second section, and turn on the options for the notifications you want to receive. Each section has different options, chose accordingly to your needs.
Emails for shipped orders
Please note that Shipped notification emails are sent out every day at 4:30PM EST.
The system allows you to choose whether your customers receive an email when their order has been shipped. You can also add a CC. There are three options:
Send an email for every shipped order.
Send an email only if the order was shipped within a certain number of days after it was placed.
Do not send an email.
The email will look similar to the picture below.
Emails for Backorders
Please note Backorder notification emails are sent out every day at 6:00PM EST.
The system allows you to decide whether your customers receive an email when their order is in Backorder status. You can also add a CC. There are three options:
Always send an email. If the SKU is part of an expected replenishment, include the estimated ship date.
Send an email only if there is no replenishment in progress, meaning the order may remain in backorder for a while.
Do not send an email.
The email will look similar to the picture below.
Extra Configurations
From communication settings, you also have the option to make extra configuration relate to the emails, to returns and the SKUs images, we will see each one of them.
1. First go to the third section and click Edit to make all settings editable.
2. Now, configure each sections accordingly.:
Website
Include the website name or URL of your company, which will be included in certain emails.
Returns
This configuration allows you to set certain return-related actions.
i. Box Weight – This is a predefined box weight that will be added to the total SKU weight in a return. For example, if you have three SKUs weighing 3 pounds each and set the box weight to 5pounds, the total return weight will be 14 pounds.
ii. Insert Return Label – You can decide to have your warehouse team generate a return label for every order that is shipped. When they request the shipping label, a return label will also be generated.Please note that this applies to all orders with no exceptions.
Widget
A widget that can be given to your customers that shows the order status. This code can be placed within an email or website, which shows the status of orders depending on the shipping number and other order information. You can select whether a customer can initiate a return or return label through the widget as well. You can also edit the visible query fields that are shown in the widget.
